Resource Booking - Facility Center
The Resource Booking tool allows you to book time for resource use, such as booking time for a conference room.
Create
To create a booking:

Open the Legacy Menu.

Navigate to Facility Center > Resource Booking > Create.
The Booking Details page opens.

Enter all required fields, indicated in red.
These fields include:
-
Booking type - such as conference room, equipment, etc.
-
Property
-
Building
-
Resource
-
Requestor information
-
Contact information
-
Booking Title
-
Cost Center
-
Start date/time
-
End date/time
-
-
Enter any needed equipment.
-
Click the Save button to the right of the equipment to ensure the equipment is saved in the booking.
Equipment for a resource booking is configurable - equipment could include items such as projectors, computers, telephones, and chairs.

Enter any needed services.
-
Click the Save button to the right of the services to ensure they are saved in the booking.
Services are configurable - they could include things such as room set up/break down or catering.

Enter the attendees.
-
Click the Save button to the right of the attendees to ensure they are saved in the booking.

Click the Check Availability button .
A message appears on the screen. It tells you if there are any schedule conflicts with your booking.

Click the Save button.
A message appears on the screen confirming that the booking has been created.
A booking ID number is automatically created for the booking.
Check Resource Availability
You can view more detail about a resource by clicking on the name of the resource.
You can click a booking in the availability schedule to view the booking. However, doing so causes you to lose any unsaved data if you were trying to create a booking.
Check Resource Availability from the Create page
To check the availability of a resource from the Create page:

Open the Legacy Menu.

Navigate to Facility Center > Resource Booking > Create.
The Booking Details page opens.

Enter the following data:

Booking Type
-
Property
-
Building
-
-
Click the Availability tab at the top of the Booking Details table.
-
Enter a Start Date in the Start Date field, or click the Calendar button to choose a date from the date picker.
-
Select whether you want to view a week or a month from the Display For One field.
The availability of the rooms matching your search criteria appears.
Check Resource Availability from the Search page
To check the availability of a resource from the Search page:

Open the Legacy Menu.
-
Navigate to Facility Center > Resource Booking > Search.
The Search Bookings page opens.

Enter the following data:
-
Booking Type
-
Property
-
Building
-
-
Click the Availability tab at the top of the Booking Details table.
-
Enter a Start Date in the Start Date field, or click the Calendar button to choose a date from the date picker.
-
Select whether you want to view a week or a month from the Display For One field.
The availability of the rooms matching your search criteria appears.
Search
Click a booking from the Resource Asset Booking Search Results page to view more details about the booking.
To search for a booking:

Open the Legacy Menu.
-
Navigate to Facility Center > Resource Booking > Search.
The Search Bookings page opens.

Enter your search criteria.
-
Click the Search button.
The Resource Asset Booking Search Results page opens. The bookings which match your search criteria is in a table.
Edit a Booking
To edit a booking:

Open the Legacy Menu.
-
Navigate to Facility Center > Resource Booking > Search.
The Search Bookings page opens.
-
Enter your search criteria.
-
Click the Search button.
The Resource Asset Booking Search Results page opens. The bookings which match your search criteria are in a table.

Click the booking you want to edit.
The Booking Details page opens.
-
Make your changes.
-
Click the Save button.
A message appears on the screen informing you that the booking has been updated. You may now navigate away from the page.
Delete a Booking
To delete a booking:
-
Open the Legacy Menu.
-
Navigate to Facility Center > Resource Booking > Search.
The Search Bookings page opens.
-
Enter your search criteria.
-
Click the Search button.
The Resource Asset Booking Search Results page opens. The bookings which match your search criteria are in a table.

Click the booking you want to delete.
The Booking Details page opens.
-
Click the Delete button .
A dialog box opens, asking you to confirm your choice.
-
Click the OK button.
After clicking the OK button, you receive a message saying the booking has been deleted successfully. You are then returned to the Resource Asset Booking Search Results page.
Admin
The Resource Booking Admin section allows users to configure aspects of the Resource Admin tool.
Add/Edit Resource Types
To add a resource type:

Open the Legacy Menu.

Navigate to Facility Center > Resource Booking > Admin.
The Resource Booking Admin page opens.

Click the Add/Edit Resources Types link.
-
Click the New button .
The Add/Edit Resources Types page opens.
-
Select the Resource Type from the Resource Type field.
-
Enter the Resource Type Name into the Resource Type Name field.
-
Choose whether:
-
This resource type will be active (Yes/No)
-
This resource type will be bookable (Yes/No)
-
This resource type requires special handling (Yes/No)
-
-
Enter any additional notes in the Notes field.
-
Click the Save button.
You receive a message saying the resource type has been saved. You may now navigate away from the page.
To edit a resource type:

Open the Legacy Menu.

Navigate to Facility Center > Resource Booking > Admin.
The Resource Booking Admin page opens.

Click Add/Edit Resources Types.
The Add/Edit Resources Types page opens.
-
Click the Resource Type you want to edit.
-
Make the changes you want.
-
Click the Save button.
You receive a message saying the resource type has been saved. You may now navigate away from the page.
Add/Edit Resources (Rooms, Elevators, etc)
To add a resource:

Open the Legacy Menu.
-
Navigate to Facility Center > Resource Booking > Admin.
The Resource Booking Admin page opens.

Click the Add/Edit Resources (Rooms, Elevators, etc) link.
-
Click the New button .
The Add/Edit Resources (Rooms, Elevators, etc) page opens.
-
Select the Resource Type from the Resource Type field.
-
Enter the Resource Name into the Resource Name field.
-
Select the Property from the Property field.
-
Select the Building from the Building field.
-
Enter any additional information, such as the floor, room, room layout, cost, etc.
-
Choose whether:
-
This resource will be active (Yes/No)
-
This resource will be admin only (Yes/No)
-
This resource will be dispatchable (Yes/No)
-
-
Enter any additional notes in the Notes field.
-
Click the Save button.
You receive a message saying the resource has been saved. You may now navigate away from the page.
Once you have saved, the Upload button becomes available. Click the Upload button to upload an image of the resource.
To edit a resource:

Open the Legacy Menu.

Navigate to Facility Center > Resource Booking > Admin.
The Resource Booking Admin page opens.

Click Add/Edit Resources (Rooms, Elevators, etc).
The Add/Edit Resources (Rooms, Elevators, etc) page opens.

Click the Resource you want to edit.
-
Make the changes you want.
-
Click the Save button.
You receive a message saying the resource has been saved. You may now navigate away from the page.
Add/Edit Equipment
To add equipment:

Open the Legacy Menu.

Navigate to Facility Center > Resource Booking > Admin.
The Resource Booking Admin page opens.

Click the Add/Edit Equipment link.

Click the New button .
The Add/Edit Equipment page opens.

Select the Resource Type from the Resource Type field.

Enter the Resource Name into the Resource Name field.

Select the Property from the Property field.
-
Select the Building from the Building field.
-
Enter any additional information, such as the floor, room, cost, etc.

Choose whether:

This resource will be active (Yes/No)
-
This resource will be admin only (Yes/No)
-
This resource will be dispatchable (Yes/No)

Enter any additional notes in the Notes field.

Click the Save button.
You receive a message saying the equipment has been saved. You may now navigate away from the page.

Click the Add/Edit Equipment link.
The Add/Edit Equipment page opens.

Click the equipment you want to edit.

Make the changes you want.

Click the Save button.

Add/Edit Services
To add services:

Open the Legacy Menu.

Navigate to Facility Center > Resource Booking > Admin.
The Resource Booking Admin page opens.

Click the Add/Edit Services link.

Click the New button .
The Add/Edit Services page opens.

Select the Resource Type from the Resource Type field.
-
Enter the Resource Name into the Resource Name field.
-
Select the Property from the Property field.
-
Select the Building from the Building field.
-
Enter any additional information, such as the floor, room, cost, etc.

Choose whether:
-
This resource will be active (Yes/No)
-
This resource will be admin only (Yes/No)
-
This resource will be dispatchable (Yes/No)

Enter any additional notes in the Notes field.

Click the Save button.
You receive a message saying the service type has been saved. You may now navigate away from the page.
To edit services:

Open the Legacy Menu.

Navigate to Facility Center > Resource Booking > Admin.
The Resource Booking Admin page opens.

Click the Add/Edit Services link.
The Add/Edit Services page opens.

Click the services you want to edit.
-
Make the changes you want.
-
Click the Save button.
You receive a message saying the service type has been saved. You may now navigate away from the page.
Add/Edit Room Layouts
To add a room layout:

Open the Legacy Menu.
-
Navigate to Facility Center > Resource Booking > Admin.
The Resource Booking Admin page opens.

Click the Add/Edit Room Layouts link.
The Room Layouts page opens.
-
Enter a name for a new layout in the New Layout field.
-
Click the Save button.
The new layout is added to the list of active layouts.

Click the Upload button under the room layout name to upload an image of the room layout.
To edit a room layout:
-
Open the Legacy Menu.
-
Navigate to Facility Center > Resource Booking > Admin.
The Resource Booking Admin page opens.

Click the Add/Edit Room Layouts link.
The Room Layouts page opens.

To change a room layout's name:
-
Click the Edit button next to the name of the layout you want to change.

Change the layout name.
-
Click the Save button.
The layout is now updated.

To activate a room layout:
-
Select the Active check box for the room layout.
-
Click the Save button.
The room layout is now active.

To deactivate a room layout:
-
Deselect the Active check box for the room layout.
-
Click the Save button.
The room layout is now deactivated.

Once you have finished saving your changes, you may navigate away from the page.
