Preventative Maintenance

Preventative maintenance is work that users can plan for in advance, such as periodic inspections or recurring maintenance activity. Performing preventative maintenance on facilities and equipment can prevent or reduce the likelihood of costly repairs in the long term.

Preventative maintenance is typically performed on either a piece of equipment or an asset. You will decide what maintenance is necessary and build job plans for each piece of equipment or asset. You will schedule your service providers to perform regular maintenance.

ClosedView Preventative Maintenance

The sections below describe how to view preventative maintenance as a service provider or as an administrator.

ClosedService Providers

To view your preventative maintenance requests:

  1. Open the Work Requests workspace.

  2. Select My PM Work from the Collections field.

    The preventative maintenance requests assigned to you displays.

ClosedAdministrators

To view scheduled preventative maintenance:

  1. Open the Legacy Menu.

  2. Navigate to Facility Center > Maintenance Mgmt > Schedule.

  3. Use the search filters to narrow your results.

  4. Select Assigned from the toolbar at the top of the workspace.

    The preventative maintenance which is currently assigned displays.

ClosedComplete Preventative Maintenance in the Upgraded Work Requests Workspace

To complete a preventative maintenance request:

  1. Open the Work Requests workspace.

  2. Select My PM Work from the Collections field.

  3. Select the work request you want to complete.

  4. Click the Complete Work Request button Pictured is a button that looks like a check mark..

  5. In the Complete Work Request window, in the Complete detail section, enter:

    • Date/Time Completed

    • Hours

    • Cost Center — Who is paying for the maintenance?

    • Cause Type — What is the source of the problem?

    • Repair Definition — What was done to fix the problem?

    • Repair Description — Any additional comments describing the repair.

  6. Enter any parts used in the repair in the Inventory detail section.

  7. Enter any additional costs in the Other Costs detail section.

  8. Enter any photos or documentation in the Attachments detail section.

  9. Open the Complete detail section once you have entered all pertinent information about the work request in the other detail sections.

  10. Click the Save button.

    The Complete Work Request window closes. Your preventative maintenance request now has a Completed label in the Status column.
