Employee Self-Service (ESS) Portal
The Employee Self-Service (ESS) Portal allows individuals who are not users in the software to submit work requests to you. Since they are not allowed full user access, these individuals can only access two functions: Create Work Request and View Work Request. This portal is configurable. You can create conditional messages which alert users to do certain things—e.g. "Call this extension for audio/visual support" or "Please include _____ information when submitting your request".
Note:
Users of the ESS Portal cannot edit a work request once it has been submitted.

The Create a Work Request functionality is a simplified version of the Work Requests workspace's Create a Work Request page. Here are the steps a user would need to take to create and submit a work request:
To create a work request:
-
Navigate to your organization's ESS Portal.
-
Click the Create Work Requests button.
The Create Work Request page opens.
-
Enter the location information.
-
Enter a keyword for the request in the Request Keywords field.
Examples of keywords include: Too hot, too cold, keys, leak, door, tile, or audio. The system does include pre-configured keywords, but clients can also have additional, custom keywords.
The selected keyword assigns a priority based upon the assigned work type and problem type.
The Requestor field should automatically populate with the your contact information, and the Contact field should be populated with the appropriate contact's information.
-
Add an attachment to the work request.
An example of an attachment would be a photograph, such as a photo of a damaged ceiling tile.
-
Click the Save button.
The work request is automatically sent to the appropriate service provider.
To search for and view work requests:
-
Navigate to your organization's ESS portal.
-
Click the View Work Request button on the portal page.
The View Work Requests screen opens.
-
Select the All Work collection from the Collections menu.
The All Work collection provides you with a larger subset of results when applying filters.
-
Click the Filter button in the toolbar on the right side of the page to open the Filter Panel.
-
Enter your filter criteria in any of the type-ahead or drop-down fields.
-
Click the check mark at the top of the Filter Panel once you have selected your filters.
The check mark has a pulsing orange box around it.
Your filters are now applied.
-
Click a work request from the resulting list to view it.
