Comments Detail Section Procedures

The Comments detail section allows you to add or manage comments on a workspace record. The procedures used in the Comments detail section are always the same. Any page where these procedures are used will redirect to this page. See the Common Procedures page to learn more.

To perform actions in this detail section, you need to be able to see the Details pane. Click the List View, Summary View, and Map View buttons to toggle different content views. For more information about different content views, see the Content Views section of the Common Attributes of Workspaces page.

ClosedAdd a Comment

To add a comment to a workspace record:

  1. Open the appropriate workspace.

  2. Select the workspace record to which you want to add a comment.

    Read the Filters page and the Collections section of the Common Attributes of Workspaces page to learn how to filter the records in your workspace.

  3. Select the Comments detail section from the Detail Section menu.

  4. Click the Add Comment button Pictured is a gray button in the shape of a plus symbol. in the toolbar on the right side of the Details pane.

    The Add Comment window opens.

  5. Select the comment type from the Comment Type field.

  6. Enter your comment in the Comment field.

  7. (Leases workspace only) If you are entering comments in the Leases workspace and you want to link your comment to a document, see the expanding section below.

    ClosedLink a Comment to a Document

    1. Select the document this comment pertains to from the Document field.
      Click the Open button next to the Document field to open the document.
      If you enter a page number or the article/section that this comment pertains to, the document opens to that location when you open the document.

    2. Enter the page number this comment refers to in the Page Number field.

    3. Enter the article/section this comment refers to in the Article/Section field.

  8. Choose between two options:

    • Click the Save button.

      The Add Comment window closes. Your comment appears in the Comments pane.

    • Click the drop-down arrow next to the Save button and click Save & New from the menu that appears.

      The comment is saved and cleared from view. Repeat steps 5-6 until all comments are entered.

ClosedEdit a Comment

You can only edit your own comments, unless you have been granted the appropriate editing permissions by your administrator. To edit a comment on a workspace record:

  1. Open the appropriate workspace.

  2. Select the workspace record whose comment you want to edit.

    Read the Filters page and the Collections section of the Common Attributes of Workspaces page to learn how to filter the records in your workspace.

  3. Select the Comments detail section from the Detail Section menu.

  4. Select the comment you want to edit.

  5. Click the Edit Comment button Pictured is a small gray button that looks like a pencil. in the toolbar on the right side of the Details pane.

    The Edit Comment window appears.

  6. Make your changes.

  7. Choose between two options:

    • Click the Save button.

      The Edit Comment window closes. Your comment appears in the Comments detail section.

    • Click the drop-down arrow next to the Save button and click Save & Next from the menu that appears.

      The comment is saved and cleared from view. The next comment opens. Repeat steps 6-7 until you have finished making your changes.

ClosedView a Comment

To view a comment:

  1. Open the appropriate workspace.

  2. Select the workspace record whose comment you want to view.

    Read the Filters page and the Collections section of the Common Attributes of Workspaces page to learn how to filter the records in your workspace.

  3. Select the Comments detail section from the Detail Section menu.

  4. Select the comment you want to view.

  5. Click the View Comment button Pictured is a button that looks like an eye. in the toolbar on the right side of the Details pane.

    The View Comment window opens. The comment is in read-only format.

  6. (Leases workspace only) To open the document that the comment is associated with, click the Open button next to the Document field.

  7. Once you are done viewing the comment, click the Close button Pictured is a small button that looks like an x..

ClosedDelete a Comment

You can only delete your own comments, unless you have been granted the appropriate permissions by your administrator. To delete a comment from a workspace record:

  1. Open the appropriate workspace.

  2. Select the workspace record whose comment you want to delete.

    Read the Filters page and the Collections section of the Common Attributes of Workspaces page to learn how to filter the records in your workspace.

  3. Select the Comments detail section from the Detail Section menu.

  4. Select the comment you want to delete.

  5. Click the Delete Comment button Pictured is a gray button in the shape of a trash can. in the toolbar on the right side of the Details pane.

    A dialog box opens, asking you to confirm your choice.

  6. Click the OK button.

    The comment is deleted. It no longer appears in the Comments detail section.

ClosedEmail a Comment

To email a comment:

  1. Open the appropriate workspace.

  2. Select the workspace record whose comment you want to email.

    Read the Filters page and the Collections section of the Common Attributes of Workspaces page to learn how to filter the records in your workspace.

  3. Select the Comments detail section from the Detail Section menu.

  4. Select the comment you want to email.

  5. Click the Email Comment button Pictured is a button that looks like an envelope. in the toolbar on the right side of the Details pane.

    The Email Comment window appears.

  6. Select the recipient from the To field.

  7. Select a recipient to carbon copy on the email from the CC field.

  8. Enter a custom subject line for the email into the Personalize Subject field.

  9. Enter a message in the Message field.

  10. Click the Send button.

    The Email Comment window closes. The email is sent.

ClosedPreview a Document - LEASES WORKSPACE ONLY

If a comment is associated with a document (see the Add Comment procedures, step 7), you can preview the part of the document that the comment is associated with.

To preview the document a comment is associated with:

  1. Open the Leases workspace.

  2. Select the lease whose document you want to preview.

    Read the Filters page and the Collections section of the Common Attributes of Workspaces page to learn how to filter the records in your workspace.

  3. Select the Comments detail section from the Detail Section menu.

  4. Select the comment whose document you want to preview.

  5. Click the Preview button Pictured is a small button that looks like a rectangle with a down arrow in its center.in the toolbar on the right side of the Details pane.

    The document opens in a separate tab. If you specified a page number or article/section when you entered the comment, the document opens to that page.
